High Level Job Description

Talent and Partnerships Coordinator will support the Talent and Partnerships team with day-to-day research, management and execution of FlyteVu Talent, Influencer and Brand partnerships, including management and use of key tools like Julius, Rostr and IMDBPro. The role’s responsibilities include working closely with our assigned client teams to prepare influencer recommendations based on research and vetting. Specific deliverables include various coordinating tasks, like content approvals / tracking, along with administrative duties, like maintaining project documentation and handling influencer invoices and reporting. To succeed in this role, you should love pop culture, have excellent organizational, time management and communication skills, as you’ll collaborate with clients and internal teams to deliver results on deadlines.

Detailed Job Description/Responsibilities

  • Talent Research and Recommendations – Research, identify and vet suitable traditional and/or influencer talent who meet client briefs, and deliver recommendations with supporting rationale, and quantitative and qualitative data.
  • Talent One Sheets – Provide team with talent one-sheets as needed, leveraging databases to create and/or populate one-sheet template.
  • Industry Research – Continue to explore the changes and innovation within the industry, brand, talent and influencer space using Julius, IMDBPro, Rostr, industry trades and industry relationships, etc. Share key updates and learnings with agency via info shares, Slack, etc.
  • Talent Idea Lists – Manage running lists for each client where both influencer and traditional talent names are aggregated for reference as well as Talent databases.
  • Campaign Coordination – Manage influencer program delivery including but not limited to drafting talent and influencer briefs, maintaining deliverable tracking grids, collecting influencer content for client approvals, reviewing influencer content, verifying influencer and talent invoice payment info, collecting and compiling influencer reporting and metrics.
  • Talent Resourcing Tool(s) Management – Manage the day-to-day operations of Talent Management Tool(s) (i.e. Julius) and all functions necessary to keep it running effectively and up-to-date.
  • Talent Task Force – Support team in the management of all entertainment industry relationships staying in the know on music releases, upcoming projects, etc.
  • Contract Drafting - Support department in creation of contracts
  • Use tools to monitor working hours, plans and expenditures
  • Work closely with Accounts teams to manage client reporting for all on-going projects
  • Must be able to effectively communicate internally and externally in a manner consistent with the company’s Code of Conduct and core values
  • Handle and safeguard confidential and proprietary information
  • Must be able and willing to work during non-business hours as needed or required to fulfill job requirements
  • Must be willing to work from office a minimum of two days per week (Tuesdays and Wednesdays), and up to five days a week as needed and determined by Company

Required Competencies/Skills:

  • 2+ years marketing and/or entertainment experience
  • Must have strong understanding of social media platforms (Facebook/IG, Youtube, TikTok, etc)
  • Must be knowledgeable in pop culture
  • Outstanding organizational and communication skills
  • Must have problem-solving mentality
  • Ability to respond quickly and meet client deadlines, without exception
  • Must be able to prioritize multiple tasks with varying deadlines
  • Work well under pressure
  • Entrepreneurial self-starter with ability to work with ambiguity at times
  • Ability to think ahead, independently and challenge oneself to learn and grow
  • Proficient in the use of MS Office Suite, Apple Keynote
  • Must have the ability to remain poised, composed, and professional when interacting with celebrities, high-profile individuals, and VIPs


Additional Preferences/Not Required

  • Entertainment or music industry experience
  • Experience with Basecamp or other Project Management Software
  • Experience with time-tracking software
  • Experience with file management software

Education Required:

  • Minimum of a Bachelor’s Degree in Mass Communications, Marketing, or a related field.
